2. Information we collect

We currently handle the information you provide when contacting us, basic technical information associated with browsing, and your saved language preference. The booking, payment, quest and location items below describe planned handling after those features launch.

• Booking details: name, email, contact telephone number and optional WhatsApp details, date, time, group size, and booking status.
• Information you choose to provide: children's age range, accessibility needs, dietary information connected to an included item, and support messages.
• Payment records: payment status, amount, refund status, and transaction reference. Full card details are handled by the payment provider and are not stored by YOKAI ATLAS.
• Quest data: group ID, completed locations, answers, hints used, collected yokai, device error reports, and completion time.
• Optional location data: the current position and device-reported accuracy when a guest taps the arrival check. We do not collect or retain a continuous movement history.
• Basic technical records: IP address, browser type, access time, and security logs generated when the site is used.

3. How we use it

We use the information to process and confirm bookings, prevent duplicate reservations, prepare the correct number of kits, provide the private quest, restore progress, answer support requests, issue operational or weather notices, process payments and refunds, prevent misuse, improve reliability, and maintain records required by law.

Location is used only to calculate distance when a guest requests an arrival check. The public site does not request location access for browsing. Before the quest location feature launches, we will explain whether processing stays on the device or involves server transmission, and how to proceed without location access, based on the actual feature.

Optional accessibility or age information is used only to prepare and support the booked group. We do not use it to make automated eligibility decisions.

4. Service providers and sharing

We may entrust the minimum necessary data to hosting, database, payment, email, booking-channel, customer-support, insurance, and reception partners. They may use it only to provide the contracted service and must protect it appropriately.

We do not sell personal information. We disclose it to another party only with consent, when required by law, to protect life or safety, or as otherwise permitted by Japanese law. If a reception partner needs a guest name or arrival time, only the minimum operational information will be shared.

5. Overseas processing

Before booking, payment and messaging services launch, we will verify their providers and processing countries. If personal information is handled overseas, we will review the local legal framework and provider safeguards, and provide information and obtain consent where required by applicable law.

6. Cookies and local storage

The public site currently saves your language choice in local storage. Storage of group IDs, accessibility preferences and completed seals will be explained based on the actual quest features before they launch. The public site does not currently use behavioural advertising trackers. If optional analytics or advertising cookies are introduced, this policy and the consent controls will be updated first.

7. Retention

Enquiry information is retained for handling the enquiry and necessary follow-up. The periods below are proposed for booking and quest operations. We will finalise them before booking opens after checking storage settings, deletion procedures and provider log-retention terms.

• Booking and operational contact data: normally 18 months after the experience.
• Payment and accounting records: the period required by Japanese law.
• Technical security logs: up to 90 days.
• Test data: deleted when the test and follow-up analysis are complete.

Data may be retained longer when a dispute, safety incident, legal obligation, or valid preservation request requires it. Data no longer needed is deleted or anonymised.

8. Security

We take security measures appropriate to the information handled. Before accepting bookings or payments, we will verify encrypted connections, access permissions, administrative credentials, update and backup procedures, and incident response, and describe the measures in operation on this page.

9. Your requests

To the extent provided by Japanese law, you may request information about how we use your personal information, access to it, corrections or additions, deletion, suspension of its use, or an end to its disclosure to third parties. We may ask for reasonable proof of identity. Please contact the privacy desk below to make a request.

10. Children and photographs

High school students under 18 may book and participate after consent from a parent or legal guardian has been verified. An adult guardian must book for junior high school students and younger children. For consent verification, we process the participant name and date of participation, the name and contact details of the parent or legal guardian, their relationship to the participant, agreement to the price and experience details, and the date and time of verification. This information is used for reception, consent verification and necessary contact. Please provide only the information about a child that is needed for their participation. Taking part does not give YOKAI ATLAS permission to use a guest's image, voice, comments, or social media account details for promotional purposes. Any promotional use requires separate, voluntary consent that can be refused without affecting the experience.

11. Changes

Material changes will be posted on this page with a new revision date. If a change affects an existing paid booking, we will notify the lead guest when reasonably possible.
